General Information

Where and when does registration/check-in take place on the first day? +

Registration and check-in will take place on Wednesday, April 8, 2026, from 17:30-18:00 at the entrance of the Konrad Cohn Lecture Hall, Virchowweg 24, Charité Campus Mitte, or on Thursday, April 9, 2026, starting from 08:00-08:30 at the Wilhelm-Waldeyer Building, Philippstraße 11, Charité Campus Mitte.

Name badges and any relevant materials will be distributed at check-in.

If you arrive later, please approach one of the organizers for your registration.
Will I receive a certificate of participation? +

Yes. All registered participants will receive a digital certificate of attendance after the symposium, specifying their contribution (oral/poster). Certificates will be sent by email in the days after the event.

Please ensure your name and institutional affiliation are correctly entered in your registration — these details will appear on the certificate.

If you require a specialized certificate for visa, travel grant, or institutional reimbursement purposes, please contact us at jp2026@charite.de to discuss options.

Travel & Getting Around

How do I reach the symposium venue? +

Venue: Charité – Universitätsmedizin Berlin, Campus Mitte. The campus is centrally located and very well connected by public transport.

  • From Berlin Hauptbahnhof: ~10 minutes on foot, or 3 stops by tram.
  • From Berlin Brandenburg Airport (BER): Take a regional train or S-Bahn to Berlin Hauptbahnhof, then continue as above.

Nearby stops:

  • U-Bahn: Naturkundemuseum / Oranienburger Tor
  • S-Bahn: Hauptbahnhof / Oranienburger Straße
  • Tram: Invalidenpark / Naturkundemuseum
  • Bus: Invalidenpark / Robert-Koch-Platz / Charité Campus Mitte / Philippstraße

How do I get around Berlin? +

Berlin has an extensive public transport network (U-Bahn, S-Bahn, tram, and bus) running 24/7, with reduced frequency late at night.

Tickets & fare zones: Berlin is divided into zones A, B, and C.

  • An AB ticket covers most of the city, including the symposium venue.
  • An ABC ticket is required when travelling to/from Berlin Brandenburg Airport.

Money-saving options include day passes and four-trip tickets. Always validate your ticket before boarding (where required).

Cycling & e-scooters: Berlin is bike-friendly. Rental bikes (Nextbike, Call a Bike) and e-scooters are widely available.

Berlin is a large city — allow extra travel time, especially during peak hours.
Can I park my car near the venue? +

Parking around Charité Campus Mitte is available but limited and generally expensive. Street parking is scarce.

We strongly recommend using public transport — the venue is very easy to reach by U-Bahn, S-Bahn, tram, or bus.

Registration & Cancellation

I can no longer attend. How do I cancel my registration? +

We understand that plans change! If you cannot attend, please inform us as soon as possible at jp2026@charite.de.

Participation is free of charge. However, we rely on accurate headcounts to manage our limited catering budget, so timely cancellations are very helpful. We hope to see you at a future symposium!

Even a late cancellation helps us reallocate your lunch voucher and catering portion — please cancel promptly.

Travel Grants

I applied for a DPG travel grant. What do I need to do? +

If you selected the DPG travel grant option during registration, please note:

  • A reimbursement form will be sent to you by email after the symposium.
  • Submit the completed form together with all original receipts directly to the Deutsche Physiologische Gesellschaft (DPG).
  • Keep all receipts related to your trip to Berlin (transport, accommodation). Food and drinks are not eligible for reimbursement.
  • The DPG may request bank statements to verify that the exact amount was charged.

Reimbursement amounts:

  • Total DPG budget: €9,000
  • Maximum per person: €300
Because over 100 participants expressed interest in the grant, the actual reimbursement per person will likely be significantly lower than €300 — we currently estimate less than €100 per person given the large number of applications. Reimbursement typically takes several weeks to up to 3 months after submission.
When will I receive my DPG travel grant reimbursement? +

Reimbursement typically takes several weeks to up to 3 months after submission of your form and receipts.

The DPG may contact you for additional documentation (e.g. a bank statement) during this period.

Processing of travel grants is managed at the DPG and the organizers of JP2026 are not involved.

I spent more than €300 on travel. Can I be reimbursed for the full amount? +

No. The maximum reimbursement per person from the DPG travel grant or the grant for international oral presenters is €300, regardless of actual travel costs.

We encourage you to also check whether your home institution offers additional travel support.

I am an international participant giving an oral presentation. Is there an additional travel grant? +

Yes! Four dedicated travel grants for international oral presenters are available, generously funded by The Company of Biologists and supplemented by the B. Braun-Stiftung. Each grant covers up to €300 in travel and accommodation expenses.

Recipients are selected by the organizers based on predefined criteria. All applicants will be notified by March 1, 2026.

When awarded this grant, it is no longer possible to apply for the DPG grant. Please note: The selection is competitive — we received a large number of international abstracts.

Programme & Presentations

How will I be notified whether my abstract was selected for an oral or poster presentation? +

All participants should have received a notification by email on February 25. Abstracts were assigned to either an oral presentation slot or a poster session based on scientific content, thematic fit, and available session capacity.

If you have not received a notification, please check your spam folder and then contact us at jp2026@charite.de. Being assigned to a poster session does not reflect negatively on the quality of your work — posters are an integral part of JP2026.
What format and duration are required for oral presentations? +

Each oral presentation must not exceed 10 minutes, followed by a 5-minute discussion chaired by the session chairs. Please include a clear, accessible introduction to your topic — assume some audience members may come from adjacent fields.

Technical specifications:

  • Aspect ratio: 16:9
  • Language: English
  • Accepted formats: PowerPoint (.pptx preferred), OpenOffice/LibreOffice, or PDF. Please avoid .pps/.ppsx formats.
  • Ensure all special fonts, characters, and videos are embedded directly in the file.
Presentation from your own laptop is not supported. All required equipment will be provided by the organizers.
Do I need to submit my slides in advance? +

Yes. Presentations must be uploaded by Tuesday, April 7, 2026, 18:00 CET. Instructions on how to upload your files will follow in the upcoming weeks.

Presentations from personal laptops are not supported on-site. Please submit your file in advance.
Can I check how my slides will look on the venue screen? +

Pre-screening is not routinely possible due to the tight schedule. We will review your submitted presentations and contact you in case of any obvious problems. If you have concerns about your slide layout (e.g. unusual fonts, animations, or embedded media), please contact us at jp2026@charite.de and we will do our best to accommodate a check before your session.

What format and size are required for poster presentations? +

Posters should include an accessible Introduction and Conclusion suitable for non-specialist attendees, in keeping with JP2026's cross-disciplinary spirit.

Technical specifications:

  • Size: DIN A0, portrait orientation
  • Maximum dimensions: 85 cm (width) × 119 cm (height)
  • Language: English

On-site logistics:

  • Mount your poster only on the board marked with your assigned poster number (e.g., A1 #4 or B2 #8).
  • Mounting materials will be provided in the poster area.
  • Setup: Posters must be mounted in the morning on the day of your assigned session.
  • Removal: Posters must be removed by the end of that day — any posters left behind will be removed by the organizers.
  • Presenting authors are kindly asked to remain at their posters throughout their assigned poster session.
Will presentations be recorded or made publicly available? +

No. Out of respect for presenters and to encourage open scientific discussion, JP2026 presentations will not be recorded or publicly shared. This applies to oral presentations, poster sessions, and keynote lectures.

If you would like to share your own work after the symposium, you are of course free to do so independently.

Catering & Social Events

Will food be provided on Wednesday evening? +

Light snacks will be available during the Wednesday evening session so you won't go hungry. Please note that no hot meals are served, so we recommend having a proper dinner before or after the event.

Will food be provided on Thursday and Friday? +

Yes! On both days you can expect:

  • Coffee breaks: Two per day — one in the morning and one during the poster session — with coffee, tea, and a small selection of snacks.
  • Lunch: Vouchers for the Mensa Nord (campus canteen) will be provided to all active presenters. The lunch menu typically includes a starter, a main course, two side dishes, a dessert or fruit, and a cold drink.
Coffee and cake are not included in the lunch voucher. The Mensa Nord is popular with students for its variety and quality — enjoy!
How is the social evening on Thursday organized? +

The Thursday social evening takes place at L'Osteria Berlin Humboldthafen. A pre-selected vegetarian menu of pizza and pasta will be served freely to our tables.

  • Cost: €20 per person, payable individually to L'Osteria staff on the evening.
  • Drinks are not included and must be ordered and paid for separately.
The venue is booked for the number of registered participants. Please do not attend if you did not register for the social evening.
Can I join the social evening if I did not register for it? +

We may have a small number of extra spots available. If you would like to attend but did not register, please speak to one of the organizers on-site or email jp2026@charite.de as soon as possible.

Please do not simply show up without prior confirmation — venue capacity and catering have been arranged for registered participants only.

On-Site Logistics & Safety

Is there a place to store my luggage? +

There is no dedicated or guarded luggage storage at the venue. You are welcome to bring your bags into the symposium rooms, provided emergency exits remain accessible at all times.

Please be aware that the entire venue is publicly accessible during the symposium. We recommend exercising the same caution with your belongings as you would in any other public space.

Berlin's main train stations and the airport offer paid left-luggage facilities if you need to store large bags.
I have a medical emergency during the symposium or my stay in Berlin. What should I do? +

Call 112 (European emergency number) from any mobile phone — it works anywhere in Germany.

If you are within the venue and there is no immediate life-threatening danger, please approach one of the organizers immediately. We have designated first responders on site, and several of our participants have a medical background and can provide first aid.

Charité's emergency department is located directly adjacent to our venue — professional medical care is only steps away.

Get well soon! Your safety is our top priority.
I experienced a dangerous or uncomfortable situation. What should I do? +

We are sorry to hear this and hope you are safe. Please follow these steps:

  • Immediate danger (outside the venue): Call 110 (police) or 112 (emergency services).
  • During the symposium (no immediate threat): Approach any of the organizers. We will assist you, mediate the situation, and ensure your safety.
Your wellbeing is our priority. Do not hesitate to reach out — there is no situation too small to report.
